A handoff note an agent can actually use

What to retain when an automated conversation needs a person’s judgment.

Pass along evidence, ownership and the unresolved decision. A polished summary alone is not enough.

Carry the question and the evidence

A useful note includes the customer’s current request, relevant message references and any action the system has already attempted. Distinguish what the person said from what the model inferred. When a date or price is uncertain, preserve the uncertainty rather than smoothing it out.

Give the receiving agent access to the source conversation. They should be able to check a summary without asking the customer to repeat information the business already has.

Transfer control as well as context

Choose an explicit owner and a visible state showing that a person is handling the case. Decide which queued automated actions should be cancelled or held. Otherwise an agent can promise one thing while a scheduled response sends something else.

Demonstrate a takeover with a reply arriving at the same time. Record which component makes the ownership decision and what the losing sender does. The messaging provider may transport the event while your application owns this coordination.

Define the way back

A person should decide when automation can resume and what instructions it receives. Record the resolution and any promise that remains open. Do not let the end of a typing session silently return control to the agent.

Pilot the handoff on an ambiguous question and a failed action, not only a straightforward FAQ. Assess whether the staff member reaches the right decision with the information provided. That is the practical test of a useful handoff.
